Proposal Summary

This covers three things: building a new Payette Land Trust website, keeping it online afterwards, and — if it is useful to you — taking on the day-to-day IT for the office so nobody on staff has to.

Website Scope & Discovery

Two pieces of work we have already done, at no cost, so that the rest of this proposal is grounded in your actual content rather than guesswork.

These are measuring tools, not design proposals.

We are not asking you to approve a look. We build these to analyse existing content — putting your real words and photographs into real pages shows us what is there, what is missing, and what needs rewriting. Judgements about design come later, with you in the room.

Expect to disagree with parts of it. That is the point: it gives us something specific to react to instead of a blank page. Several figures are deliberately left blank because we do not have them yet, only the eight core pages are built, and links beyond those are inactive.

Colours sampled from your logo file, the typefaces your site loads today, and the gaps — labelled so our guesses are never mistaken for your facts.

What it told us

  • Your mission statement is strong and can carry the homepage as written.
  • Your photography is genuinely good and should be used far larger.
  • Acreage protected, year founded and project counts are not stated anywhere public.
  • Forty-eight pages exist; roughly eight carry the weight.

What we would need from you

  • Total acres protected, and the year the trust was founded.
  • Acreage and county for each property you want featured.
  • Current staff and board list.
  • Confirmation you hold rights to the photographs on the current site.

One-time cost

Website development — $2,000

A new site on WordPress, built from your existing content and structured around the two people who matter most to you: landowners considering an easement, and donors.

Included

  • A design system — colour, type and components — built around your existing logo.
  • Eight core page templates: home, what you do, conserved lands, about, how to help, donate, news and events, contact.
  • Your existing content migrated and tidied as we go.
  • Works properly on phones, which is where most of your visitors are.
  • Readable type, keyboard navigation and sensible colour contrast.
  • Page titles, descriptions and a sitemap so search engines index it correctly.
  • Existing web addresses preserved, so nothing you have shared or printed breaks.

Worth discussing

  • Your donation and event pages run through WooCommerce today. We keep those working; how far we restyle them is a scoping conversation.
  • The interactive map of conserved lands needs your parcel data before it can be rebuilt.
  • Pages beyond the core eight can be carried over as-is or reworked later.
  • New photography or copywriting, if you want it, would be quoted separately.

We would confirm the full page list with you before starting, so the fixed price stays fixed.


Monthly, after launch

Keeping the site running

Two options. The first keeps the site online and safe. The second means you never have to touch it yourself.

Option one

Hosting

$25per month

  • Hosting, domain and certificate management.
  • WordPress, theme and plugin updates applied and checked.
  • Daily backups, held off-site.
  • Monitoring, so we know if the site goes down before you do.
  • Security patching.

You make your own content edits. Suits a team with someone comfortable in WordPress.

Option two

Hosting + ongoing support

$85per month

  • Everything in the hosting option.
  • Content changes handled by us — new events, staff changes, project updates, new pages.
  • A support channel: email or call, and a person who already knows your site.
  • Small design and layout adjustments as the site grows.
  • Help getting your newsletter and donation pages doing what you want.

Replaces the $25 option rather than adding to it. Suits a small team with no in-house web person.

Optional · separate from the website

Managed IT for the office

If nobody on staff wants to own the network, the accounts and the laptops, we will. Most of what a small office struggles with is Microsoft 365 and Google Workspace, so that is where we start.

The part that matters most

Microsoft 365 and Google Workspace, properly set up and actively managed

  • Email, calendars, shared drives and Teams configured so they work together instead of against each other.
  • Accounts created and closed properly when people join or leave — no orphaned mailboxes.
  • Multi-factor authentication and sensible sharing rules, applied consistently.
  • If you run both Microsoft and Google, we make them coexist cleanly rather than duplicating everything.
  • Migration between the two, in either direction, if that is the right move.
  • Licence review, so you stop paying for seats nobody uses. Nonprofit pricing applies to both platforms.

Pricing

$100per month, per site

Covers the whole environment: routers, network switches, wireless access points, Microsoft 365 and Azure, and Google Workspace.

$50per user, per month

Covers each person: their devices, accounts, support and security.

For your team of three that is $250 a month — $100 for the site plus $150 for three users. It moves with your headcount as people join or leave.

Somewhere to call when something stops working, staffed by people who know your setup.

Monitoring & maintenance

Patching, updates and health checks that happen quietly in the background.

Layered security

Endpoint protection, email filtering and account hardening as standard, not as an upsell.

Backup & continuity

Network & wireless

Routers, switches and access points looked after as one system.
